•To provide administration support to the Project Managers and other Managers to the effectiveness and efficiency of the COO office in realizing its role within client.

QUALIFICATIONS & EXPERIENCE

•Unless the applicant can demonstrate that he/she has developed the necessary competencies through experience a matric certificate and a project management qualifications are required
•At least 2 - 5 years experience in a project management function
•SAP system experience will be an advantage.

KEY ACCOUNTABILITIES

•Provide secretarial and administrative support to the Project Managers and relevant managers.
•Maintain an up to date diary for the Project Managers and departmental managers inclusive of scheduling meetings, arranging discussions, preparing background papers and briefings as required.
•Manage and co-ordinate invitations and correspondence by ensuring follow-ups, taking messages, screening and redirecting calls and maintaining priority correspondences in the absence of the departmental managers.
•Prepare all required documentation such as compiling agendas, co-ordinate all photocopying, facsimile and filing requirements etc.
•Compile EXCO Report (portfolio management) packs and distributing.
•Prepare payment requisitions (manually.
•Co-ordinate travel and accommodation arrangements, ensuring that insurance and finance is organized and all travel expense claims are completed timeously.
•Provide accurate and efficient word processing support to the Project Managers and departmental managers.
•Manage and co-ordinate the ordering of stationery, consumables, office supplies, courier services and deliveries.
•Co-ordinate all arrangements for functions, events, meetings, workshops and forums inclusive of booking the venues, preparing the venue, sending invitations and arranging equipment and catering requirements.
•Collect and deliver documentation as and when required.
•Maintaining personnel files.
•Manage attendance and leave.
•Arrange and collect plans.
