Qualifications:
    Degree in Business Management, Secretarialor related courses.
    At least 3 years of professional experienceperforming similar functions, preferably in International NGOs orInternational Organizations.
    Good knowledge of protocol, public relationskills and excellent drafting abilities (Bilingual).
    Proficient in Microsoft Windows.
    Required functional competencies: effectivecommunicator, creative analytical thinker, active learner, team player,cross cultural facilitator.
    Willing to work in flexible working hoursand in a difficult environment.
    Proficient in Microsoft windows, workingknowledge in data bases and specialized statistical software desirable.

Main responsibilities:
    Maintain Core Team (CT) Calendar, contactswith high ranking visitors, arrangement of appointments, meetings, actingas interpreter when required and/or taking minutes.
    Maintain and implements protocol procedures.
    Prepare high quality briefing materials forsupervisor for appointments, meetings, missions.
    Prepare informal translations.
    Manage CT Missions and representationschedule.
    Maintain and update rosters of high levelpartners, telephone lists.
    Draft correspondence, directives, comments onbehalf of the CT for his signature and making follow up when required.
    Maintain the filing system ensuringsafekeeping of confidential materials.
    Coordinate the information flow in theoffice, follow on circulation files.
    Facilitate information sharing between theCT Office and other partners.
    Follow up on deadlines, commitments made,action taken coordination of collection and submission of reports to theCT.
    Screen all incoming calls andcorrespondence.
    Present proposals to eliminate communicationbottlenecks in the office and streamline office procedures between the CToffice and the subordinate units.
    Any other duties assigned by the supervisor.
